Office Manager & Program Associate

Hourly Rate: $18-$22/hr DOE

Description

A local non-profit organization is looking for an Office Manager to join their team!

Summary: Ability to assist with a wide variety of office activities. Will provide administrative support to the CEO and Board of Directors, and work closely with members of the staff, donors, non-profits and the community.

Specific responsibilities:

Executive Assistant to the CEO

  • Provide support to the CEO for all administrative needs, including scheduling, correspondence, presentations and other admin duties.

Board of Directors, Committees and Governance

  • Prepare agenda, collate and distribute materials, and prepare minutes of meetings of select committees.
  • Undertake projects as directed by the Board and supervised by the CEO.
  • Maintain record of all approved minutes for Board and committees.

Administrative

  • Greet and direct visitors, answer phones, receive and relay phone messages and answer questions from the general public.
  • Maintain office calendar, including use of meeting rooms.
  • Maintain on-site physical fund filing system and other shared files on computer.
  • Assist in updating manuals, policies, forms, documents and special notices.
  • Serve as safety coordinator for the office.
  • Maintain staff operations plans.
  • Open and distribute mail; make appointments; photocopying, filing and other office duties as assigned.

Events

  • Coordinate all meetings, Board-related events, donor education sessions and special events.

Scholarships

  • Assist Scholarship Associate in all aspects of the Scholarship Department.

 

Requirements

  • 3 to 5 years of relevant experience.
  • Extremely proficient with MS Office programs.
  • Ability to multi-task and work on multiple projects simultaneously.
  • Attention to detail and strong organizational skills.
  • Ability to handle confidential information.
  • Excellent written and verbal skills.
  • Ability to climb stairs and lift up to 25lbs.
